Privacy policy
This is a starting draft written for the Find a Coach pilot — not reviewed by a lawyer. Have someone check it over before treating this as a real, binding policy.
What we collect
When you search for a coach or a court, your postcode is sent to a free lookup service (postcodes.io) to turn it into a location for distance sorting — it isn't stored by us. When you request or book a session, we store your name, email address, and any note you add to the request, so the coach can get in touch and confirm the details. If you create an account, we store your name, email, and a securely hashed password (never the password itself).
What we use it for
Strictly to run bookings: matching you with a coach or court, sending confirmation and reminder emails, and letting a coach see who's requested a session with them. We don't sell or share your details with anyone outside that — no advertising, no third-party marketing lists.
Who can see it
A coach sees the name, email, and note attached to a request or booking made with them — nothing else, and nothing from your history with other coaches. The person running Find a Coach can see all of this too, since bookings are managed centrally during this pilot.
Messages
Once a coach accepts a booking, you and that coach can message each other on Find a Coach about that session. Those messages are private to the two of you and are not shown to other coaches, other students, or anyone browsing the site.
There are two exceptions, both deliberate. First: if a booking was made for someone under 18, the conversation can also be read by the person running Find a Coach. That is a child safeguarding measure, and both people in the conversation are told about it in the conversation itself, every time — nobody is ever read without knowing.
Second: either person can report a conversation, using the link at the bottom of it. Reporting sends that conversation to be read by the person running Find a Coach so they can act on it, and it is the only way a conversation between adults becomes readable by anyone else. The person being reported is not told. Once the report has been dealt with, that access ends. Beyond these two cases, conversations between adults are not monitored.
Messages stay open for 30 days after the session, then close. They remain readable to both of you after that, and are kept on the same basis as your booking history below.
How long we keep it
For as long as your account or booking history is useful to you, or until you ask us to delete it — see below.
Your choices
You can cancel a pending or upcoming booking yourself at any time from My bookings (see the cancellation policy for the cutoff). To ask what we hold about you, correct it, or have it deleted, get in touch via the feedback form.
